Safety guidelines for planning and communicating about upcoming campus events
Event Safety Planning
All events organized by college employees or community members that are open to the public or focus on community engagement. The goal is to minimize risks, support inclusive access, and ensure that all attendees, including those with disabilities or from vulnerable communities, can participate safely and without fear. This operating procedure applies to all indoor and outdoor events held on college property or sponsored by the college off-campus.

Foundations:
Events should be structured to create a joyful, culturally affirming, and hospitable environment. The college does not voluntarily cooperate with any immigration enforcement unless required by law and will not share student or guest information without a judicial warrant.
Ideal timeline:
4 weeks before event:
Organizer notifies facilities manager with facilities Notification FormIdentify risks to community safety, then:
Identify safe/ally space with appropriate signage
Identify alternative exit routes
Identify ADA evacuation routes
1 Week before event:
- Organizer communicates safety considerations to key event personnel
- Provide for communication to attendees including translations and interpretation
1 Week Post Event:
- Debrief with staff to review any safety concerns or incidents
- Submit a brief event summary safety report to Facilities
